How Do I Get The System?

Installation and Training

How long does it take for the system to be installed and ready to use?

We will need to you complete a setup checklist which will let us know what functions and features you may need for your agency. MARS is designed to be tailor fitted to your agency and needs. The system can be installed in a few hours.

What materials will the agency get for training?

We have a dedicated team who will be giving you in house training for a period of time. MARS provides training videos and materials which can be useful for the agency to look back on. It is a relatively easy and user friendly system. We will provide you all the links and materials.

How does the existing data transfer to MARS?

We will need to have a spreadsheet of all your talent and client lists. We will support you in data transportation from your old system to the new MARS system.

What account package does MARS use?

MARS uses XERO as the account package.

Websites

How does the system link to the agency’s website?

We can link the website to MARS where you can easily tick talents and images to the website. We require you to complete a setup checklist to outline what features you prefer e.g. website logos, header and footer.

MARS Application is available to install on your phone from App Store.

How can I log in for first time if my agency already approved my profile in Mars?

You need to put your mobile number in without the zero (0). Please note you must enter the correct area code: e.g. UK is 44, Spain is 34. Leave the password box empty and press forgotten password. You will receive a code via text message.

Lastly, log in with your phone number exactly like before and enter the code into password. This directs you to the next step which is to create your own password to log in.

Payment

How do I know I got paid?

You will receive a notification which will show in Accounting.

How can I view my Payslip, accounting details and fees?

In the dashboard, click Accounting. Here you see two tabs, PENDING and PAID.

In PENDING, you can see the job you have previously completed including the date and fee e.g. The Crown TV – Job done on 02 Sep 2016 – £625.

In PAID, you can see the history of what has been paid.

Notifications

What is a notification?

A notification is an alert you receive when an agent needs your confirmation about availability, casting and booking appointments.

Make sure you accept or decline

 

How can I turn on the notifications?

When you log in allow notifications. You can also check this in App settings.

 

How can I see the Messages (chat notifications)?

In the dashboard, click Messages. Messages is the chat service between you and an Agent or Booker. Here you can ask the agent or booker any questions regarding jobs or castings. You will not receive any notification on your phone, you will have to log in on the App.

Why do I receive a notification after completed the job?

Before the agency invoice, they need your approval.

You will receive a notification with the job details. You must click ACCEPT or DECLINE.

Jobs

How can I see the job?

You will receive notifications through the App when there is a Booking, Audition/casting, Fitting etc. When you get any castings/notifications through the App you have to click the notification which will direct you to the App. You will have the option to DECLINE, DETAILS or CHAT.

Click DETAILS. Here you can see the JOB DETAILS which gives you information on the job reference, job type, agent, role and role description.

Then click on BOOKING DETAILS (at the bottom of the post) which gives you information on the location, address, wardrobe, date and times.

Further click on FEES & OTHER (at the bottom on the post) will show you information on the fees. On this page, you can ACCEPT OR DECLINE the job.

 

How can I accept a job?

Please read the information and that you are clear of what the casting/job is about which is explained in ‘How can I see the job?’

When you view your job, you can ACCEPT or DECLINE by clicking on the options. Please note this is very important that you give us your response to jobs by accepting or declining as we need to know.

Unavaliability

How can I book My Unavailability?

In the Dashboard click My Unavailability. You will see a calendar.

Click on the date that you want to book out. Click Set as Unavailable.

If the unavailability is reoccurring, tick the box at the top and set the end date.

You can specify at what time you are unavailable on that day(s) e.g. from 8 AM to 12 PM.

You can book out All Day if you enter from 0 00 to 0 00.

Click Done.

 

How can I book cancel My Unavailability?

In the Dashboard click My Unavailability. You will see a calendar.

Click on the date that you want to cancel. Click the red [X].

It may ask you for a confirmation to delete. Say Yes.
